Short Let Property & Customer Relation Administrator

 

 The ideal applicant must have a friendly disposition and needs to develop good working relationships with owners and guests. The ability to remain calm and confident is essential and a degree of assertiveness is also required whilst remaining sensitive to the needs of clients.

 

Salary dependent on experience.

 

Job Requirements:

 

  • Point of contact for Short Let guests during their stay
  • Point of contact for property owners
  • Organise and confirm check ins and key collection for guests
  • Organise and manage weekly housekeeping (before, during and after a guests stay)
  • Carry out housekeeping inspections
  • Instruct and coordinate contractors to carry out maintenance repairs where needed and often with little notice
  • Organise supplementary services such as window cleaning, gardening, painting
  • Coordinate check outs of all managed short let properties - this may include appointments on Sundays or out of normal working hours (£25 per appointment is paid)
  • Manage the return of damage deposits which may involve justifying and explaining and deductions
  • Work closely with property owners to ensure that their property is suitable and prepared for the Short Let market
  • Complete property profiles to ensure that all details of the properties are on our database to be used for information and maintenance purposes
  • Manage key contract for each property
  • Organise regular property maintenance checks, reporting back to the owners and guests where necessary
  • Manage and organise gas safeties and other necessary legal compliance requirements
  • Handle complaints in a professional manner if they arise
  • Work with in house design coordinator to assist owners with property improvements and ensure that properties are marketed to their highest potential
  • Assist with enquiries and bookings as required
  • Communicate and work closely with other members of the short let team to ensure transparency and smooth operation of the department
  • Be responsible for the emergency telephone as per scheduled rota
  • Work 1 in 4 Saturdays with a lieu day given during the week
  • Chase owners for payment when there is a deficit balance on their account
  • Cover other staff members responsibilities when they are away

 Lettings Administrator

 

  • Full time, based in Summertown
  • Answering the telephone
  • Meeting and greeting new and existing clients
  • Preparing window displays
  • Arranging tenant viewings and property valuations
  • Responding to general enquiries by phone and email
  • Processing tenancy applications
  • Progressing tenants' references
  • Preparing tenancy agreements and associated paperwork
  • Handling landlord and tenant queries
  • Ensuring documents and funds are in order before tenants move in

 

 

The ideal candidate will have strong organisational skills, excellent attention to detail, good written and verbal communication skills and will enjoy working as part of a team. You should have a full, clean, UK driving license and your own car is essential (mileage paid). ARLA qualified is preferable but not essential.
